Email Workflow Process and Turnaround Times.

  • Requests for email counts and submission of an email order should go through Freshdesk.  If you have any questions, please consult with your RDCS.  
  • Once sold, if creative support is needed, submit the updated Combined Creative Brief via Freshdesk.
  • Once you receive the creative "proof" back from Ad Ops via Freshdesk, it will come in the form of a PDF which is static with no links.
  • There have been some recent workflow changes here that impact ALL MARKETS
    • Review the design with the client and provide feedback or give design approval to AdOps as you would for any other creative request.
    • Once approved by you and the client, Ad Os will code the email and a "Test" email will be deployed.  The Test e-mail will go to you, the RDCS, and the client.  At this point, you should check each URL ink to ensure the pictures and copy link go to the correct page on the client's site.
  • Once you and the client have approved the "Test" then the email will be deployed.


Important information to keep in mind:


  1. The email counts are pulled to determine the audience size is updated regularly by our email partner.  It is best practice and necessary to have the counts run again every 90 days to ensure they are properly updated.  So, if you send an email on January 1st and then you want to send a second email on April 1st to the same group, you must submit a Freshdesk ticket for an updated count.
  2. We have multiple "Bolt-Ons" to our email product which are all listed on the rate card.  Please review those with your RDCS to ensure you are presenting and helping clients with the variety of opportunities associated with the product.
  3. Social Media Retargeting through Facebook is one such "bolt-on" product.  Because our partner does NOT have access to the client's page, the retargeted social post will come in the form of a generic ad.  For further details, consult with your RDCS.

  • Creative to test: 24-72 Hours

APPROVAL DEADLINE:

The approval deadline for email deployments is 6pET / 5pCT / 4pMT / 3pPT.

If you approve an email to be deployed after this time it will deploy the following business morning unless otherwise noted.
