When requesting for a promotion (contest, sweepstakes, survey, quiz or poll) to be set up, there are some important guidelines that need to be followed in order to facilitate the most efficient promotion production process.
Please include this information in your FreshDesk request:
- Title of the promotion
- Prize details including:
- a description of the prize(s)
- who is providing the prize(s)
- the number of prizes being given away
- the approximate retail value/price of each prize
- if the promotion features multiple prizes, then which is the grand prize, the first prize, etc.
- who in the market will witness the drawing(s) with an Audience Engagement representative
- how the winners will receive their prizes (e.g., pick them up at the station, mailed to the address provided in the promotion, or picked up at a particular location)
- Start date and time (include time zone)
- End date and time (include time zone)
- Date and time the winner(s) will be selected (using Audience). If the drawing for multiple prizes is on different days/times, please provide those specifics
- If the promotion is a contest or sweepstakes, how frequently can people enter (once each day, once in total, etc.) Also, are there any special bonus days (i.e. where audiences can enter a unique keyword once each hour, etc.)?
- Any important copy points (Either provide the copy points or a link to where the copy points can be found.)
- Specify the source of the campaign graphics: the client, the station or Audience Engagement. (Note: depending on workloads, the Audience Engagement team may outsource the graphics to an approved Salem Surround vendor. If this is done, the station will be charged for this service.) If the Audience Engagement Team will be producing the graphics, then we will need original artwork files and copy to include in these graphics. Here are the graphic sizes needed (if the station is providing them):

- 880x440 (no text in lower 1/3 of the graphic)

- 1080x1080
- 970x90
- 450x75
- 300x600
- 300x250
- 320x100
- 320x50

- For the main entry form, we will need to know whether to include any other required fields beyond the basics of First Name, Last Name, and Zip Code.
- For the Engagement Incentivization (Bonus) form we will include the following, unless the station/market tells us otherwise:
- Street address
- City
- State
- Phone number
- Birthday
- Gender
- Social media channels for the station(s) participating in the promotion
- Mobile app download for the station(s) participating in the promotion
- If the promotion is sponsored by a client, then any Engagement Incentivization (Bonus) opportunities related to that client will be needed (e.g., website, social channels, email opt-in, mobile app download, survey questions, etc.)
- The full name, address, and phone number of the sponsor(s), to include in the Terms & Conditions
- Any additional age and/or location restrictions (i.e. does the winner need to live in the broadcast area of the station?) that must be included in the Terms & Conditions.
- Whether the same prize will be given away on air, and if it will be, then the details of the on-air portion of the contest/sweepstakes.
- Whether the promotion is for just one station in the market or for multiple stations in the market.
- If the promotion is sponsored by a client, then whether that client wants an integration set up for their CRM or email system.
- Choosing a winner: the Audience Engagement team representative will schedule a Teams meeting through which the witnessing of the drawing(s) will take place. The market is responsible for contacting the winner(s), facilitating the completion of all paperwork, and submitting that paperwork to the Corporate Office.
As a matter of best practice, a Tetra Blitz (email, social post mobile push notification and web push notification) is sent each week for the duration of the campaign. The day and time of each Blitz will typically vary in an effort to reach different audience dayparts. No approval process exists for Tetra Blitz copy.

If graphic design is needed by Audience Engagement, please submit a separate FreshDesk ticket with that request.
Once the campaign concludes, it is the responsibility of the market to request the preparation of a Measurable Impact Report through FreshDesk and for that report and any associated Actionable and/or Lead data to be delivered to the client.
